Client Overview
Our client is among India’s most recognised digital healthcare companies — a platform that has turned employee health benefits, outpatient care and teleconsultation into a single connected experience.
The business operates at genuine national scale. Millions of app users access doctor consultations around the clock. More than a thousand enterprises rely on the platform to deliver health benefits to their workforces. Behind the app sits a large, distributed network of general physicians, specialists and super-specialists, along with diagnostic labs, pharmacies, dental and vision providers, insurers and wellness partners.
What makes the business unusual — and what made its learning problem unusual — is the sheer variety of people it depends on. A teleconsultation platform is not a company with one workforce. It is an ecosystem with four:
- Doctors and healthcare practitioners delivering consultations, who need clinical currency, platform proficiency, patient-communication skills and regulatory awareness
- Internal employees across technology, operations, claims, customer success and sales
- Enterprise customers — HR and admin teams at client organisations who need to run the benefits programme well
- Channel partners, brokers and beneficiaries who touch the platform at the edges
Each group needs different content, different assessment logic, different certification and different reporting. Until this engagement, all four were being served by whatever happened to be at hand.
The Challenge: Four Audiences, One Missing Backbone
When we began discussions with the client’s leadership team, a familiar picture emerged — one we see across fast-scaling Indian health-tech and platform businesses.
1. Training was fragmented across tools that were never designed for it
Onboarding decks lived in shared drives. Compliance briefings went out over email. Doctor orientation happened on video calls that nobody recorded consistently. Product updates were announced in chat groups. There was no single place a learner could go, and no single place a leader could look.
2. Nobody could prove completion
This is the point that matters most in a regulated, healthcare-adjacent business. Manual attendance sheets and email acknowledgements are not evidence. For mandatory training — POSH, code of conduct, whistle-blower policy, business ethics, cyber-security awareness, data protection — the organisation needed defensible, auditable, timestamped completion records for every single stakeholder. It did not have them.
3. Onboarding a doctor took far too long
Every new practitioner joining the consultation network had to be brought up to speed on platform workflows, consultation protocols, documentation standards and patient-interaction norms. Done manually, this consumed senior clinical and operational bandwidth that should have been spent on care delivery — and it did not scale past a certain intake volume.
4. Scale was the whole problem
Training 500 people through spreadsheets is inconvenient. Training 50,000 across doctors, employees, enterprise users and partners is impossible. Any solution had to work at five-figure user counts on day one, and keep working as the network grew.
5. Data protection could not be an afterthought
Healthcare data in India carries heightened sensitivity, and the Digital Personal Data Protection Act, 2023 and its 2025 Rules raised the bar again. The client’s legal and information-security teams had a hard constraint: no vendor should hold identifiable stakeholder personal data. Most conventional LMS deployments — which ingest names, emails and phone numbers to create user accounts — simply could not clear that bar.
6. The platform could not look like someone else’s
The client has spent years building brand trust with doctors and enterprises. A learning platform carrying a third-party vendor’s logo would have undermined that. The academy had to look, feel and behave as a native extension of the client’s own product.
The brief, in one line: deliver a compliant, branded, enterprise-grade learning ecosystem for 50,000+ stakeholders — without ever touching their personal data.
Why the Client Selected GroomLMS
The evaluation came down to five capabilities that few Indian LMS providers can offer together:
- True white-labelling, not a logo-swap — custom domain, brand colours, branded certificates and system emails, with zero vendor marks visible to learners
- Single-tenant deployment on dedicated infrastructure rather than a shared multi-tenant pool
- A zero-PII architecture that could satisfy a healthcare company’s privacy counsel
- A ready content library deep enough to go live immediately, rather than a platform waiting to be filled
- Turnkey delivery — one partner accountable for infrastructure, deployment, branding, content, credentials, integration and support
GroomLMS, operated by Helios Learntech Private Limited, has been recognised among India’s most promising learning management systems by Silicon India in 2023, 2025 and 2026, and as a Leading Ed-Tech Organisation by EDTALK World in 2025. But recognition was not what closed the evaluation. The isolation architecture was.
The GroomLMS Solution: A Turnkey Learning Ecosystem
We did not sell the client a licence and leave them to implement it. We delivered a complete, operating learning ecosystem.
A dedicated, single-tenant cloud instance
The client’s platform runs on a dedicated virtual private server provisioned and operated exclusively for them, logically and physically segregated from every other GroomLMS customer. No shared databases. No shared application servers. No shared file systems. Capacity is sized for the client’s full projected stakeholder volume, with headroom for growth.
Complete white-labelling
The academy carries the client’s logo, colour palette, favicon, login banner and tone of voice, and runs on their own branded subdomain. System notifications originate from their sender address. Completion certificates carry their name. To every doctor, employee and partner who logs in, this is their company’s learning platform — because functionally, it is.
Zero-PII architecture — the design decision that made this possible
This is the part of the engagement we are proudest of, and the part most relevant to any healthcare organisation evaluating an LMS.
GroomLMS generates opaque credentials — user identifiers and passwords that encode no name, no email address, no phone number and no identifying attribute whatsoever. The client allocates those credentials to their stakeholders and holds the credential-to-identity mapping entirely within their own environment.
The consequence: no stakeholder personal data is transferred to, processed by, or stored within the GroomLMS environment. The two environments are separately owned, separately administered and separately secured, with no network peering, no VPN, no private link, no shared storage and no data replication between them. The sole technical interface is the SSO authentication assertion.
For the client’s privacy team, this collapsed an entire category of risk. A security incident in the learning environment cannot expose stakeholder identities, because those identities are not there.
Enterprise SSO integration
The platform integrates with the client’s identity provider over SAML 2.0 and OpenID Connect. Stakeholders reach their learning through the credentials they already use — no additional password to remember, no separate onboarding flow, no help-desk load from forgotten logins.
A content library ready on day one
Rather than a six-month content build, the client went live with an immediately deployable catalogue of 145+ modules across six competency tracks, totalling approximately 25 hours of curated learning:
| Track | Focus | Volume |
|---|---|---|
| Risk & Regulation Essentials | POSH, Code of Conduct, Whistle-blower, Business Ethics | ~1 hour |
| Cyber Awareness | Cyber-security fundamentals, email and mobile security, data-protection techniques, safe browsing, incident response — aligned to Cyber Jagrookta Divas | ~6 hours |
| Enterprise Excellence | Leadership, emotional intelligence, communication, empathy, conflict management, DEI, stakeholder management | ~7 hours |
| Sales Ready | Objection handling, rapport building, customer service attitude, difficult-customer handling, telephone etiquette, presentation skills | ~5 hours |
| Power Skills | Decision-making, focus, accountability, critical thinking, goal-setting, adaptability | ~3 hours |
| Digital Fluency | AI and machine-learning fundamentals, Excel, productivity tooling | ~1.5 hours |
| Insight Capsules | Micro-briefs on 20 business classics — Atomic Habits, Good to Great, Ikigai, Start with Why, Radical Candor and more | ~2 hours |
Alongside the standard catalogue, we are curating bespoke medical well-being and clinical-awareness programmes specifically for the client’s doctors and patient beneficiaries — the training that no off-the-shelf library carries, and the reason a teleconsultation platform needs a learning partner rather than a learning product.
Role-based learning journeys
A doctor, a claims executive, an enterprise HR administrator and a channel partner do not see the same platform. Each role is mapped to its own curriculum, its own mandatory modules, its own assessment logic and its own certification path — assigned automatically, not manually.
Compliance tracking that produces evidence
Mandatory training is assigned by role, tracked to the individual, escalated automatically when overdue, and certified on completion. Administrators can produce a complete, auditable compliance position — by function, by role, by cohort, by individual — on demand rather than on request.
Enterprise-grade security and service levels
- 99.5% monthly platform availability, backed by contractual service credits
- TLS 1.2+ encryption in transit; AES-256 at rest
- Network firewall and web application firewall
- Least-privilege, role-based access with multi-factor authentication
- Regular vulnerability assessment and isolated daily backups
- Severity-based incident response with defined response and resolution targets
- Support 9:00 a.m. – 7:00 p.m. IST, Monday to Saturday
- Multilingual interface and mobile-first delivery, so learning reaches practitioners and field teams wherever they are
Implementation: Under 21 Days from Signature to Live Platform
Enterprise LMS implementations are notorious for slipping. This one did not.
Week 1 — Provisioning and discovery. Dedicated infrastructure provisioned. Platform identity, custom domain and SSL confirmed. Brand assets, colour palette and login-page content collected. A single point of contact nominated on each side.
Week 2 — Configuration and content. White-labelling applied end to end. Content tracks enabled from the agreed catalogue. Role-based learning journeys, assessment logic and certificate templates configured. Transactional email configured with the necessary SPF and DKIM records. UAT environment released for client review.
Week 3 — Credentialing and go-live. 20,500 learner credentials generated and issued in the first provisioning wave, delivered securely for the client’s team to allocate across doctors, employees, beneficiaries and partners. The platform went live on the client’s branded domain.
SSO integration was deliberately sequenced into Phase II, allowing the client to begin training immediately on directly issued credentials rather than waiting on identity-provider engineering. This is the kind of decision that separates a delivery partner from a vendor.
Results and Impact
| Outcome | Result |
|---|---|
| Time to live platform | Under 21 days from contract execution |
| Learners provisioned, first wave | 20,500 credentials issued and distributed |
| Ecosystem capacity | Architected for 50,000+ stakeholders |
| Content live at launch | 145+ modules, ~25 hours, 6 competency tracks |
| Stakeholder personal data in vendor environment | Zero |
| Platform availability commitment | 99.5% monthly, with service credits |
| Vendor branding visible to learners | None — fully white-labelled |
Beyond the numbers, four changes matter most to the client:
One system replaced many. Doctor orientation, employee onboarding, compliance training, product enablement and partner education now run through a single platform with a single set of reports.
Compliance became provable. Mandatory training completion is now evidenced at the individual level with timestamped certification — a position the organisation can present to a regulator, an insurer, an enterprise customer or an auditor without a scramble.
Doctor onboarding stopped consuming senior bandwidth. Structured, self-paced, assessed onboarding journeys replaced repeated live sessions, freeing clinical and operational leadership to focus on care delivery and network growth.
Growth stopped being a training problem. Adding practitioners, enterprise accounts or partners is now a provisioning action, not a project. The next 30,000 stakeholders onboard the same way the first 20,500 did.
Client Perspective
“We needed a learning platform that could carry our brand, serve four very different audiences, and never come near our stakeholders’ personal data. Most vendors could offer one or two of those. GroomLMS delivered all three, and had us live in under three weeks. The isolation architecture in particular gave our legal and security teams the comfort they needed to move fast.”

What Made This a Turnkey Solution
The word “turnkey” is used loosely. Here is what it meant in practice — GroomLMS owned every one of these:
- Dedicated infrastructure provisioning, hosting and maintenance
- Platform deployment and complete white-labelling
- Content upload, curation and configuration
- Bespoke clinical and well-being content development
- Credential generation and secure issuance at scale
- SSO configuration on the platform side
- Learning journey, assessment and certification design
- Security of the hosting environment
- Ongoing helpdesk support under a contractual SLA
The client provided brand assets, content approvals and identity-provider metadata. That was the extent of the lift on their side.
Lessons for Healthcare and Health-Tech L&D Leaders
Privacy architecture is a learning decision, not just an IT one. If your LMS vendor must ingest names and emails to function, you have imported a data-protection obligation into your training programme. Ask whether the platform can work without personal data at all.
A ready content library is worth more than a feature list. Platforms without content take months to become useful. Going live with 145+ curated modules on day one means learners form a habit before enthusiasm fades.
Your ecosystem is bigger than your payroll. In a platform business, the people who determine customer experience are frequently not employees. If your learning strategy stops at your own staff, it stops well short of your risk.
Single-tenant deployment is not an indulgence. For healthcare, financial services and any regulated sector, dedicated infrastructure changes what your security team can approve — and how quickly.
Sequence integrations sensibly. Deferring SSO to Phase II moved go-live forward by weeks with no loss of function. Perfect architecture on day 90 is worth less than working training on day 21.
Frequently Asked Questions
Can an LMS support doctors, employees, customers and partners on one platform?
Yes. Role-based learning journeys let a single deployment serve entirely different audiences with different curricula, assessments, certifications and reporting. In this engagement, one GroomLMS instance serves clinicians, internal teams, enterprise customers and channel partners simultaneously.
How does GroomLMS handle DPDP Act, 2023 compliance?
GroomLMS operates on a zero-PII model. Credentials issued to learners carry no name, email, phone number or identifying attribute, and the credential-to-identity mapping is held entirely by the customer. The customer acts as Data Fiduciary and GroomLMS as Data Processor, with no stakeholder personal data resident in the GroomLMS environment.
Can GroomLMS be fully white-labelled?
Yes. The platform runs on the customer’s own domain with their logo, colours, login banner, sender address and branded certificates. No GroomLMS marks are shown to end users.
How long does an enterprise LMS implementation take?
This 50,000-stakeholder deployment reached live, branded and credentialed status in under 21 days from contract execution. Timelines depend on brand-asset readiness, content scope and whether SSO is in the first phase.
Can GroomLMS handle 50,000+ users?
Yes. This deployment was architected for 50,000+ stakeholders on dedicated single-tenant infrastructure, with 20,500 credentials issued in the first provisioning wave.
What compliance training is included?
The standard catalogue covers POSH, Code of Conduct, Whistle-blower policy and Business Ethics, plus approximately six hours of cyber-security awareness aligned to Cyber Jagrookta Divas. Sector-specific and bespoke compliance content can be curated on request.
Does GroomLMS work on mobile?
Yes. The platform is mobile-first and multilingual, so distributed practitioners and field teams can learn on the device they actually use.
Build Your Learning Ecosystem with GroomLMS
If you are running a platform business, a healthcare network, a financial services firm or any organisation whose success depends on people beyond your payroll, the questions are the same: can you train them all, can you prove it, and can you do it without inheriting their personal data?
GroomLMS is built to answer yes to all three.
